Trucking and logistics companies carry a structural mismatch between when cash goes out and when it comes in. Fuel, driver pay, tolls, and maintenance are paid immediately or within days. Freight brokers and shippers typically pay invoices on 30 to 90 day terms, and quick-pay programs that shorten that window usually charge a discount of 1.5% to 3% off the invoice. On top of that timing gap, demand itself is cyclical: agricultural harvest season, retail pre-holiday freight surges, and winter weather slowdowns all push volume and spot rates up and down through the year.
This combination, fixed near-term costs plus delayed and seasonal revenue, is why trucking fleets and owner-operators tend to run a layered financing stack rather than a single loan. The stack usually separates long-lived assets (trucks, trailers, reefer units) from short-term working capital needs (fuel, payroll, insurance premiums).
How Trucking Fleets Are Typically Capitalized
Equipment financing and leasing for the fleet
Tractors, trailers, and refrigeration units are the largest capital outlay for most carriers. Equipment loans and finance leases, often from captive lenders tied to truck manufacturers or independent equipment finance companies, are the standard tool. Terms commonly run 3 to 6 years, roughly matched to the depreciation and useful life of the asset. Down payments of 10% to 20% are typical for used equipment; new equipment programs sometimes go lower.
SBA 7(a) loans are also used for fleet acquisition, particularly by owner-operators transitioning to a small fleet, since the SBA allows financing of vehicles and equipment alongside working capital in a single loan.
Working capital lines for fuel, payroll, and insurance
Because fuel prices and freight volume both swing, many carriers maintain a revolving line of credit sized to cover several weeks of fuel and payroll even in a slow month. Bank lines are the least expensive option where a carrier qualifies, but they typically require two to three years of operating history, positive cash flow, and sometimes a lien on receivables or equipment.
Accounts receivable based financing
Because payment from brokers and shippers lags 30 to 90 days behind delivery, many carriers, especially smaller fleets and owner-operators, monetize freight invoices rather than waiting on broker payment terms. This is a large enough topic in its own right that it is covered separately; the short version is that costs run well above bank financing and the tool solves a timing problem rather than a profitability problem.
Fuel cards and fuel-specific financing
Fuel cards with embedded credit lines are common and often carry per-gallon discounts of a few cents that partially offset the financing cost. These are a cash flow tool, not a capital source, but they materially smooth the daily mismatch between fuel spend and invoice collection.
Sector-Specific Lender Considerations
Lenders underwriting trucking and logistics companies look at factors that differ from a typical Main Street business:
- DOT compliance and safety scores. CSA scores, out-of-service rates, and driver qualification files are reviewed because they correlate with insurance cost and operational risk.
- Freight mix and customer concentration. A carrier hauling for a handful of large shippers on contract rates is viewed differently than one relying heavily on spot market loads, which are more sensitive to freight cycle swings.
- Equipment age and maintenance history. Older equipment supports less loan-to-value and shorter terms because of higher breakdown and resale risk.
- Fuel price exposure. Lenders may ask whether fuel surcharges are passed through to shippers, since unhedged fuel exposure directly affects margin stability.
- Driver turnover. High turnover raises operating risk and is a common underwriting question for fleets beyond a few trucks.
- Seasonality of the lane or freight type. Reefer carriers tied to produce seasons, flatbed carriers tied to construction cycles, and dry van carriers hauling retail goods each have different peak and trough patterns that affect how a lender sizes a line of credit or seasonal payment structure.
Realistic Cost Ranges, APR-Equivalent
- Bank term loans and SBA 7(a) for equipment or fleet expansion: roughly 9% to 13% APR-equivalent, reflecting current prime-based SBA pricing and bank underwriting for established carriers.
- Equipment financing and leasing (captive and independent lenders): roughly 8% to 16% APR-equivalent, with better pricing for newer equipment, stronger credit, and larger down payments, and higher pricing for older or specialized equipment.
- Bank or credit union secured lines of credit: roughly 9% to 16% APR-equivalent, priced off prime or SOFR plus a margin.
- Non-bank asset-based lines secured by receivables and equipment: roughly 12% to 22% APR-equivalent, used by carriers that do not yet qualify for bank facilities.
- Broker or shipper quick-pay discounts: a 1.5% to 3% discount for payment inside 10 to 15 days translates to a very high annualized rate, often 40% to 90% APR-equivalent, because the discount is charged for such a short holding period. It is a convenience cost, not a financing cost, and is usually evaluated per invoice rather than as ongoing debt.
Where the Fit Breaks Down
Long-term, low-cost bank and SBA financing generally requires two or more years of financial history, positive net income, and equipment or receivables to secure the loan. Newer carriers, single-truck owner-operators, or fleets coming off a weak freight cycle year often do not qualify and are pushed toward higher-cost working capital tools out of necessity rather than preference. Those tools solve a short-term liquidity problem but are a poor substitute for capital when a carrier's underlying freight rates do not cover its cost structure. In that situation, the more relevant fix is pricing and lane selection, not additional financing.
